Create your first quote
This tutorial takes you from signing in to a quote with the status Sent. Follow the steps in order. You do not need an administrator account.
1. Sign in
Section titled “1. Sign in”- Open the CRM in your browser.
- Enter your Email and Password, then select Sign In.
You land on the Dashboard. A welcome tour may pop up; close it with the x or press Escape. If you do not have an account yet, ask an administrator to add your email, then use Sign Up on the login page.
2. Add a client
Section titled “2. Add a client”A quote always belongs to a client, so make sure the client exists first.
- In the left sidebar, select Clients.
- Select Add Client. A New Client panel opens on the right.
- Fill in First Name and Mobile Number. These are the only required fields. Add a Company Name if the client is a business.
- Select Create.
If the CRM warns that a possible match already exists, review it. Select Use This Client to use the existing record, or Create Anyway if it really is a new client.
3. Start a new quote
Section titled “3. Start a new quote”- In the left sidebar, select Quotes.
- Select Create Quote. The Create New Quote dialog opens.
- Under Client, select Select client… and search for the client you just created.
- Type a Quote Name, for example “Bathroom renovation”.
- Select Create Quote.
The quote editor opens on the Arrangement tab.
4. Add a section
Section titled “4. Add a section”Sections group the lines on a quote, for example one section per room.
- Select New Section. The new section appears at the end of the quote with the name “New Section”, ready to rename.
- Type a name for the section and press Enter.
5. Add products
Section titled “5. Add products”- In your section, select Product (the button with the plus icon). The Select a Product dialog opens.
- The dialog may open on the Favourites tab. If so, select the Search tab, then type a product name or code in the Search products… box. Matching products are listed below.
- Tick one or more products, then select Add N Selected Products.
Once a section has lines, you can also add products from the bottom of that section: select Add product — type to search, type at least two characters, and select a product to add it straight away.
Each product becomes a line with Qty, Price, Discount and Total columns.
6. Set quantities and prices
Section titled “6. Set quantities and prices”- Click the Qty box on a line and type the quantity.
- If the price needs to change, click the Price box and type the unit price.
- The line Total and the quote Total update as you type. Click outside the box when you are done.
There is no button for saving your edits. The CRM saves them automatically, and the header shows “Saved” with how long ago when it has finished. (The Save version button takes a snapshot of the quote, which you do not need for this tutorial.)
7. Preview the quote and download the PDF
Section titled “7. Preview the quote and download the PDF”- Open the ⋯ menu (More quote actions) at the top of the quote and select Preview to see how the quote reads.
- Select Back to Quote, then open the Documents tab.
- Choose a Document Type, for example Quote.
- Select Generate Document. If a Sell at cost? dialog appears, some lines are priced at or below cost. Select Cancel to go back and fix the prices, or Yes, sell at cost if that is intentional. The PDF appears on the right.
- Select Download PDF to save it, ready to send to your client.
8. Mark the quote as Sent
Section titled “8. Mark the quote as Sent”- At the top of the quote, open the Status list and choose Sent.
- A Change status to Sent? dialog asks you to confirm. Select Change to Sent.
- If the Sell at cost? dialog appears again, choose Cancel to fix the prices, or Yes, sell at cost to continue.
The status badge now reads Sent. A sent quote has its pricing locked. If you need to change it, select Revert to Draft in the banner at the top of the quote, if the banner offers it. If it does not, ask the quote’s owner or an administrator.
