Templates

A template is a quote saved as a starting point: its sections, products and pricing settings, ready to reuse. Templates are shared with everyone in your organisation, so they suit standard layouts that several people quote again and again.

  1. Open the quote. It must be editable (a Draft); a Sent or Accepted quote can’t be saved as a template, so duplicate it first.
  2. Open the ⋯ menu in the header and choose Save as Template.
  3. Enter a Template Name (required).
  4. Optionally pick a Category: Residential, Commercial, Estate Houses, Hospitality, Industrial, Retail or Other.
  5. Under After Saving, choose what happens to the quote:
    • Keep this quote as-is creates a copy as the template, and you carry on editing this quote.
    • Convert to template turns this quote into the template. It cannot be invoiced afterwards. This is the option selected by default.
  6. Click Save as Template.

You are taken to the Templates page when it is done.

  1. Choose Templates in the left-hand menu.
  2. Find the template. Use Search templates… or the category filter, which shows All by default. Search looks at the quote name the template was made from, which can differ from the title shown on the card, so if a search finds nothing, browse by category instead.
  3. Click Use Template on its card.
  4. In Create Quote from Template, choose the Client (required) and optionally enter a Quote Name.
  5. Click Create Quote.

You land on a new Draft quote for that client, built from the template. The template itself is not changed.

Each card shows the template’s category, how many sections and items it has, and an estimated total. If the template has nested sections, an info icon next to the section count shows the section structure.

Templates are locked by default, so you unlock one to edit it.

  1. On the template’s card, click the Edit template (pencil) button.
  2. Confirm Edit this template?. A snapshot of the current template is saved before editing, and while you edit, other users can’t create quotes from it. Click Start Editing.
  3. Make your changes in the quote editor. A banner reads “Editing Template — changes will be visible to all users”.
  4. Click Publish Template in the banner when you’re done.

While a template is being edited its card shows an Editing badge, and Use Template won’t work on it. If someone tries, they are told to ask the owner or an administrator to open the template and click Publish Template. The template stays unlocked until someone publishes it, so don’t leave it half-finished.

Only the template’s owner or an administrator can unlock a template for editing.

Click the Delete template (bin) button on the card and confirm Delete Template?. Deleting is permanent. Only administrators can delete a template.
