Pipeline board

The Pipeline board shows quotes as cards in columns, one column per status. It gives you a quick view of what is waiting on the customer and what has been won.

Open the board

Choose Pipeline, under Quotes in the left-hand menu. You can also open Quotes and switch to the Board view with the view toggle above the list. The table is the other option in that toggle.

On a phone-sized screen the quote list shows cards instead, so the board isn’t available there.

What you see

There are five columns: Draft, Sent, Accepted, Declined and Expired. Each column header shows how many quotes are in it and their combined total value. An empty column says “No quotes”. The board loads up to 500 quotes, and if you pick a status in the list’s status filter, the board shows only that status.

Archived quotes and Invoiced quotes don’t appear on the board. Use the table to find them.

Each card shows the quote number, the quote name, the client, the total and the issue date. A quote that is close to its expiry date, or past it, also carries an Expiring or Expired tag. Click a card to open the quote.

Move a quote between columns

Drag the grip handle on the left of a card into another column. The move is saved straight away, with no confirmation question, so drop with care. The one exception is a quote with lines priced at or below cost: dragging it into Sent opens an at-cost confirmation first, and cancelling puts the card back.

Moving a card is the same as changing its status from the quote header, so the same rules apply. See the table of allowed moves in Status and lifecycle. In particular:

• A card can only go where that table allows. If the move isn’t allowed, the card jumps back and a message says “Can’t move this quote to … — that status change isn’t allowed.”
• You can’t drop a card into Expired. That status is set automatically.
• An Accepted card can’t be moved back to Draft, Sent or Declined.

Change many quotes at once

The board moves one card at a time. To change several quotes in one go, use the table view on a larger screen (bulk selection is not available on phone-sized screens):

1. Tick the quotes you want to change.
2. Click Change Status in the bar that appears.
3. Choose Draft, Sent, Accepted or Declined.
4. Click the Change to … button to confirm.

A message reports how many quotes were changed. Quotes whose current status doesn’t allow the move are left as they are, and the message says how many could not be updated.
