Pricing and margins

Goal: decide how the prices on a quote are worked out, apply a markup, and check your cost and margin.

Who can do it: anyone who can edit the quote can change pricing. The pricing controls are disabled on a locked quote. Show Cost is available to anyone who can open the quote, including view-only users.

A quote prices its lines in one of two ways. The price source control sits above the arrangement on a wide screen, and in Details under Pricing.

  • Catalog Price: each line uses the price from the product catalog. You can still type over a line’s price.
  • Cost + Markup: each line’s price is its supplier cost plus a markup percentage. A line with no supplier cost (or a cost of zero) keeps its existing price.
  1. Click Cost + Markup above the arrangement. (Choosing it from the Price Source list in Details switches straight away, with no confirmation.)
  2. Read the Switch to Cost + Markup? message. It tells you how many line prices will be recalculated.
  3. Click Switch to Cost + Markup.

What you should see: the Markup % field appears and line prices update.

Markup is the percentage added on top of cost, and it is how the quote is priced, so set it first.

  1. With Cost + Markup selected, type a percentage in the markup field beside the price source (labelled Markup % in Details).
  2. Optionally set a different markup for one section: turn on Show Cost (below), then click the markup pill on the section (it shows the global figure, such as Global 20%) and enter a figure.

What you should see: line prices, section totals and the quote total change straight away.

By default the editor hides cost and margin, so you can show a screen to a client. To reveal them:

  1. Click the ⋯ menu in the header.
  2. Choose Show Cost. The same menu item then reads Hide Cost.

What you should see: every line gains Cost and Margin columns, and the summary bar at the bottom adds Overall markup and Margin.

Min margin (shown with Show Cost on a wide screen, and in Details in Cost + Markup mode) is a warning threshold, not a price. Lines whose margin falls below it are flagged. It does not change any prices.

  • Type a percentage in a line’s Discount field to discount that line.
  • In Details, Quote Discount applies a discount to the whole quote, as a percentage (%) or a fixed amount.
  • The bar at the bottom of the editor shows Subtotal, Discount, Tax and Total. Discount and Tax only appear when they are above zero, and on a tablet or phone the bar is trimmed down (a phone shows only the total).

Totals, margins and section totals recalculate as you edit. Your changes are saved automatically a moment later (see Build a quote).
