Versions and restore

A quote saves your edits automatically as you work. A version is something different: a saved snapshot you can come back to, preview, compare, or restore. Use versions to mark a point you may want to return to, such as before a big change or the quote the customer first saw.

  1. Open the quote.
  2. Click Save version in the header. On a small screen it is in the ⋯ menu. On a locked quote (for example Sent or Accepted) the same button is labelled Create version to edit; see Status and lifecycle for how locked quotes are handled.
  3. In Create New Version, optionally fill in Version Name and Description.
  4. Click Create Version.

The dialog explains what happens: the current state is saved as a locked version snapshot, and you carry on editing from there.

Open the quote’s Activity tab (it shows the number of versions) and choose Saved versions. All activity shows the full history of changes instead.

Each version in the timeline shows:

  • its number, and its name if you gave it one;
  • how it was created, such as Saved manually, Status changed to Sent, Before restoring version 3 or Before price update;
  • the status the quote had at the time, who saved it and the quote total;
  • a Sent badge on the version that was sent to the customer.

The top of the list shows Current Working Version, which is the quote as it is now. Click Preview on any version to see how it looked.

The app saves a version for you in some situations: when a quote moves to Sent, Accepted or Declined (see Status and lifecycle), before a restore, and before a template is unlocked for editing. These are hidden by default. Updating prices from the catalogue also saves a Before Price Update version, and that one is shown normally. Switch on Show auto-saved versions to include them.

  1. In Saved versions, find the version and click Restore.
  2. In Restore Version N?, optionally enter a Reason for restoring.
  3. Click Restore Version.

Your last saved work is kept as a version first. Wait for the quote to finish saving before you restore, because edits that have not saved yet are replaced. You can go back to it from the version list (it is an auto-saved version, so switch on Show auto-saved versions to see it). After a restore, the Current Working Version shows a badge such as Restored from v3.

In Saved versions, there are two ways in:

  • Click Select to Compare, tick two versions, then click Compare Selected.
  • Click Compare Versions and pick the two versions from the lists.

The comparison screen is titled Version Comparison. Choose the older version under Base (older) and the newer under Compare (newer). Current is also on the list, so you can compare an old version with the quote as it is now. The swap button flips the two.

The screen shows what was added, removed or changed. You can:

  • switch between Side by Side and Inline;
  • Show unchanged or Hide unchanged items;
  • step through changes with the previous and next arrows.

Click Back to Versions to return. If the two versions match, the screen says “These versions are identical.”

If an older quote shows “This version is locked and cannot be edited”, it is protected at the version level. The banner points to Create New Version to Edit. In the header this button is labelled Create version to edit, and on a small screen it is in the ⋯ menu. Click it and complete the dialog. You get a new version you can edit, and the locked one is kept.

This is different from the Sent and Accepted locks, which have their own banners and their own ways out. See Status and lifecycle.
