Build a quote
Goal: create a new quote for a client and fill in its header details.
Who can do it: every signed-in user can create quotes and edit the quotes they own or have been given edit access to. Administrators can edit any quote.
Create a quote
Section titled “Create a quote”- Open Quotes from the sidebar.
- Click Create Quote.
- In the Create New Quote window, click Select client…, type in Search clients… and pick the client. The list shows the client’s name with their email underneath.
- Enter a Quote Name, for example “Office Renovation Project”.
- If your company uses stores, choose a Store. It decides whose bank details print on the quote’s PDF. Leave it on My default store to use your assigned store.
- Click Create Quote.
What you should see: the quote opens in the editor, and a “Quote created successfully.” message appears.
Fill in the quote details
Section titled “Fill in the quote details”- In the editor header, click Details to open the Quote Details panel. On a narrow screen the button shows only its icon.
- Under Quote, set the Project Name, Issue Date (the Today shortcut fills in today’s date), Expiry Date, Notes and Client. The expiry date must be after the issue date. Today also moves the expiry date to keep the same gap.
- Under Pricing, set the price source, markup and Terms & Conditions. See Pricing and margins.
- Close the panel with Esc or by clicking outside it.
What you should see: your changes are kept when you close the panel.
The panel also has a Project / CRM section with optional project tracking fields such as Project Stage and Follow-up Date, and a Sharing section where the owner or an admin can add people as Editor or Viewer.
How saving works
Section titled “How saving works”Your edits save automatically a moment after you stop typing. Fields such as the quote name and notes save when you click out of them. A status indicator in the header shows where things stand:
| You see | Meaning |
|---|---|
| Saved, with a time | Everything is saved. |
| Saving… | A save is in progress. |
| Unsaved changes | Edits are waiting to be saved. |
| Offline - changes queued | You have lost your connection. |
| Save failed (or an error message), sometimes with a Retry button | The save did not go through. Click Retry if it is offered. |
On a phone only a coloured dot is shown instead of this text.
There is no “Save Quote” button because autosave does that job. Save version is different: it takes a deliberate snapshot you can return to later.
Quotes you cannot edit
Section titled “Quotes you cannot edit”A quote that has been sent, declined, expired or archived shows a “Pricing locked” banner, with a Revert to Draft button when you are allowed to revert it (otherwise the banner says you do not have permission), or a Duplicate button for an archived quote. A quote that has been accepted or invoiced is locked for good; an accepted one shows “Locked — accepted by customer” and cannot be edited at all: click Duplicate to make a revised copy.
